Job Description:We are currently seeking a detail-oriented and proactive Administrative Assistant to join our Facilities Management and Administration (FMA) department. This role will involve a blend of administrative and technical responsibilities to ensure the seamless operation of our facilities.
Record and maintain monthly service reports (PPM) to track the performance of facility systems and equipment.
- Update and manage access cards for staff and students in our system, ensuring accurate records and timely updates.
Maintain tenancy records and oversee utility management, including electricity and water, to ensure efficient usage and billing.- Process payment invoices for service vendors and handle quotation requests, maintaining accurate financial records.
Monitor and respond to requests and issues logged in the helpdesk system, coordinating with relevant stakeholders for resolution.
- Manage parking facilities and other facilities management-related tasks, ensuring a safe and organized environment.
Provide coverage for the main reception and parcel room during lunch breaks or staff absences, offering excellent customer service to visitors and staff.- Maintain and record hardware stock items, ensuring availability and accurate inventory records.
Bachelor's degree in Information Technology, Facilities Management, Business Administration, or a related field.- Proven experience in facilities management, preferably with a focus on IT-related tasks.
Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent attention to detail and accuracy in record-keeping and data management.
Proficiency in using relevant software and systems for access control, invoicing, and inventory management.- Effective communication skills with the ability to collaborate with internal teams and external vendors.
