The Admin Executive will provide comprehensive administrative support to ensure the efficient operation of the office. This role involves handling a variety of tasks, including maintaining records, checking attendances, and facilitating communication within the organization. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills.
Office Management:- Oversee daily office operations to ensure a smooth workflow.
Manage office supplies inventory and place orders as needed.- Coordinate and supervise office maintenance and repairs.
Handle incoming and outgoing mail and deliveries.
Prepare and format documents, reports, and presentations.- Assist in the preparation and execution of company events and meetings.
Handle confidential information with discretion.
- Provide executive support to senior management
Communication:
- Serve as the point of contact for internal and external communication.
Draft, proofread, and send correspondence on behalf of the executive team.
- Facilitate effective communication between departments and team members.
Record Keeping:
- Maintain accurate and up-to-date filing systems, both electronic and physical.
Organize and archive documents and records according to company policies.
- Assist in data entry and management of company databases.
Project Assistance:
- Support special projects and initiatives as required by the management team.
Track project timelines and deliverables, ensuring deadlines are met.
- Prepare project-related reports and updates.
Provide support to clients and stakeholders as needed.- Handle inquiries and resolve issues in a timely and efficient manner.
Compliance and Procedures:- Ensure compliance with company policies, procedures, and regulations.
Assist in the development and implementation of office procedures and policies.- Conduct regular reviews of administrative processes and recommend improvements.
Education:
- Diploma/Bachelors degree in Business Administration, Management, or a related field preferred. Relevant certifications or diplomas may be considered.
Experience:- Minimum of 1 year of experience in an administrative or executive support role.
Experience with office software (e.g., Microsoft Office Suite) and office equipment.Skills:
Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
Ability to multitask and prioritize tasks effectively.- Strong attention to detail and problem-solving skills.
