We are seeking a highly organized and detail-oriented
Administrative Executive to join our team. This role plays a crucial part in ensuring efficient administrative operations and providing support to management.
Manage and coordinate administrative procedures and systems such as filing, record keeping, and license renewals.
Oversee the renewal process for various licenses and permits required for business operations, ensuring compliance with legal requirements and deadlines.
- Liaise with regulatory authorities and external vendors to gather necessary documentation and information for license renewals.
Maintain accurate records of all licenses, permits, and renewals, and ensure they are updated in a timely manner.- Document and coordinate office maintenance activities, including repairs, renovations, and office equipment procurement.
Manage, deliver and updating inventory of office/site administrative asset(e.g. stationery, furniture), ensuring adequate stock levels, and cost-effective procurement.
- Run weekly inspection, implement and maintain the office 5S program to promote a clean, organized, healthy, safe and efficient workspace.
Handle office and site rental/utilities payment processes, ensuring timely payments and budget adherence.- Record and manage staff claims, including travel expenses, allowances, and reimbursements.
Assist in the preparation of reports and presentations for management.
- Handle confidential information with integrity and professionalism.
Coordinate with HOD for departmental administrative needs- Maintain and support IT administrative task (e.g. update user account of systems)
Facilitate and coordinate HQ events
Proficient in MS Office and other relevant software.
- Excellent organizational and multitasking abilities.
Outstanding communication and interpersonal skills.- Bachelors degree in Business Administration or relevant field preferred.

Proactively and strategic mindset towards identifying issues and handling day to day responsibilities- High interpersonal, written and verbal communication skills when interacting with management, employees, subordinates and external parties
