Job Summary:We are seeking a detail-oriented and proactive Admin Executive to join our team. The ideal candidate will play a key role in ensuring the smooth operation of our administrative processes, with a focus on invoice coordination and providing essential support to the Head of Department.
Manage and coordinate the processing of invoices, ensuring accuracy and timely submissions.
- Liaise with suppliers and internal departments to resolve any invoice discrepancies or issues.
Maintain an organized filing system for invoices and related documentation.- Assist the Head of Department with daily administrative tasks, including scheduling meetings, preparing reports, and managing communications.
Handle correspondence, prepare documents, and maintain records as required.
- Provide general office support, including managing office supplies and coordinating with vendors.
Compile and prepare reports for the Head of Department, ensuring accuracy and timely delivery.- Assist in data analysis and presentation preparation for meetings and departmental reviews.
Work closely with other departments to ensure smooth coordination of administrative tasks.
- Support team projects and initiatives as needed, contributing to the overall efficiency of the office.
Diploma or Bachelor's degree in Business Administration or a related field.
- Proven experience in an administrative role, preferably with experience in invoice processing.
Strong organizational and multitasking skills with attention to detail.- Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and as part of a team.
Preferable Chinese/Mandarin Speaker
- Working Hours:* 8:30 AM - 6:00 PM, Monday to Friday
