Responsible to entertain all enquiries, phone calls and whatsapp immediately.- To respon all whatsapp enquiries within 5 minutes and usage of understandable and proper language.
To alert all invoices issued by Accountant and need to update payment status in Student's listing (excel) and save in Google Drive everyday.
- Update customers files and record.
To liaise with the customers for any matters (payment, meeting, etc).- To ensure all related office forms available in Masterfile.
To ensure all forms/documents being proper filing before submit to Human Resource or Management.
- Ensure all files being updated.
Liaise with suppliers/ contractor for quotations, deliveries or any related matters.- To ensure all stocks ordered using Stock Requisition Form.
Issuance of Purchase Order (PO)
- To ensure items ordered are physically checked and been recorded in stock card.
Responsible for stock take duties being assigned to respective employee. Prepare letters or memos as assigned.
- Prepare timetable duties for Ahli Terapi Mobile Interventionist Services (MIS) for every 25hb of every month for Human Resource checking and update timetable if any additional customers Jump In from Sales & Marketing.
To update new date/time if any changes occur.- To assist for any tasks assigned for the purpose of company's activities.
To attend any adhoc tasks.
- Prepare and update company's asset listing.
All warranties for company's asses been recorded and proper filing- To ensue office equipments being serviced on time.
To check emails/mails in the morning.
- To ensure all mails/emails being transferredf to respective employee.
To ensure all documents/bills/bank's letters being acknowledged properly.- To ensure folder task in Google Drive been checked and reviewed everyday and response accordingly.
To inform parents for any arised issues pertaining to their children.
- Prepare and record Intervention equipments recorded in excel inclusive price, brand, date purchase,quantitty and etc.
To upkeep all office equipments.- To record minutes meeting.
Ensure all cleaning schedule being filled and authorized and do proper filing.
Job requirements
- At least 2-3 years of experience in an admin executive position
Advance level Proficiency in Microsoft Office and other common office software- Broad understanding of executive administrative practices and processes
Excellent written and verbal communication skills in Hindi and English
- Independent and able to work with minimal supervision
