Job Summary:
The Admin Executive will be responsible for the overall administration and operation of the Association. This includes managing the association's day-to-day activities, coordinating events and meetings, and supporting the Secretary General in executing the association's objectives. The Admin Executive will play a key role in ensuring effective communication between members, the committee, and governments bodies, GLCs & ROS.
Key Responsibilities:
- Administrative Management:
- Oversee the daily operations of the association.
- Maintain accurate records of membership, meetings, and financial transactions.
- Handle correspondence, emails, and phone inquiries.
- Ensure compliance with local regulations and association bylaws.
- Event Coordination:
- Plan, organize, and execute events for the Association, including social, cultural, and community events.
- Coordinate logistics for events, including venue booking, catering, and transportation.
- Manage event budgets and ensure cost-effective execution.
- Meeting Coordination:
- Assist in organizing the Annual General Meeting (AGM), EGM , Elections and committee meetings.
- Prepare agendas, minutes, and reports for meetings.
- Ensure timely distribution of meeting notices and documents to members.
- Membership Engagement:
- Develop and implement strategies to increase membership and engagement.
- Maintain an updated database of members.
- Foster positive relationships with members through regular communication and engagement activities.
- Communication and Public Relations:
- Develop and disseminate newsletters, announcements, and updates to members.
- Manage the association's website and social media platforms.
- Serve as the point of contact for media and public inquiries.
- Financial Management:
- Assist the Treasurer in preparing budgets and financial reports.
- Oversee the collection of membership fees and other revenues.
- Ensure accurate and transparent financial record-keeping.
- Support to Secretary General:
- Provide administrative and logistical support to the Secretary General.
- Assist in implementing the strategic plans and policies of the association.
- Handle special projects and tasks as assigned by the Secretary General.
- Committee Support:
- Facilitate communication and coordination among committee members.
- Assist in the execution of committee decisions and initiatives.
- Provide administrative support to various sub-committees as needed.
- Compliance and Governance:
- Ensure the association adheres to its constitution and bylaws.
- Stay updated on relevant legal and regulatory requirements.
- Assist in policy development and implementation.
- Other Duties:
- Perform any other duties as assigned by the Secretary General or the committee.
- Continuously seek ways to improve the efficiency and effectiveness of the association's operations.
Qualifications:
- A Bachelor's degree in Business Administration, Management, or a related field.
- Minimum of 3-5 years of experience in administrative or managerial roles, preferably in non-profit organizations or associations.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and other relevant software.
- Ability to work independently and as part of a team.
- Familiarity with the cultural and social dynamics of Pahang-born individuals in the Klang Valley is a plus.
- Fluency in Bahasa Malaysia and English, both written and spoken.
- Willingness to work after office hours as and when required by the Secretary General.
#### Working Conditions:
- Full-time position based in Setiawangsa, Kuala Lumpur.
- Availability to work evenings and weekends as required for events and meetings.
- Ability to travel within the Klang Valley for association-related activities.

Pay: RM2,300.00 - RM2,500.00 per month
