As a Tuition Admin Assistant, your job scope typically revolves around supporting the administrative functions within a tuition center or educational institution. Here are some common responsibilities:
- Student Enrollment and Records Management:
Registering new students, maintaining student records, and updating information in the database.- Handling inquiries from prospective students and parents regarding enrollment procedures, fees, and schedules.
- 2. Scheduling and Coordination:
Managing class schedules, assigning students to classes, and ensuring classrooms are adequately prepared.- Coordinating with teachers and staff to ensure smooth operation of classes and resolving scheduling conflicts.
- 3. Fee Collection and Billing:
Processing tuition fee payments, issuing receipts, and maintaining accurate financial records.- Following up on overdue payments and addressing billing inquiries from parents or guardians.
- 4. Communications and Correspondence:
Handling incoming calls, emails, and inquiries from students, parents, and teachers.- Sending out communication regarding class schedules, events, and other relevant information.
- 5. Administrative Support:
Assisting in the preparation of teaching materials, worksheets, and other educational resources.- Organizing and maintaining office supplies, equipment, and facilities.
- 6. Attendance and Reporting:
Monitoring student attendance and reporting any absences or issues to relevant parties.- Compiling attendance records and preparing reports as required by management.
General Office Duties:
Performing general clerical tasks such as filing, photocopying, and data entry. Supporting other administrative tasks as assigned by management.
- 8. Accounting and Financial Responsibilities:
Billing and Payments: Generating invoices for tuition fees, processing payments from students or parents, and ensuring timely collection of fees.
- Expense Management: Recording and monitoring expenses related to tuition services, such as tutor payments, rental fees for facilities, and administrative costs.
Financial Reporting:
Assisting in the preparation of financial reports, including profit and loss statements, balance sheets, and budget forecasts.Bank Reconciliation:
Reconciling bank statements and ensuring accuracy in financial transactions.- 9. Other ad-hoc tasks as required.
Preferably female- Possess minimum SPM, Diploma or Equivalent
At least 1 year of experience as Admin, Account Assistant/Executive or similar role
- Proficiency with Microsoft Office is a must (Outlook, Word, and Excel)
Proficiency with basic accounting software
