Job Description

Summary:

The Administrative Assistant will support the daily operations of the office by performing a variety of administrative and clerical tasks. The ideal candidate will be highly organized, detail-oriented, and capable of handling multiple tasks simultaneously. They will provide support to managers and employees, assist in daily office needs, and manage general administrative activities.
  • Key Responsibilities:
  • Office Management:
Greet visitors and direct them to the appropriate person or department.
  • Answer and direct phone calls, take messages, and handle correspondence.
Manage and maintain office supplies, ensuring stock levels are sufficient.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Administrative Support:
Prepare and edit documents, reports, and presentations.
  • Maintain electronic and physical filing systems.
Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system for office documentation.
  • Clerical Duties:
Perform data entry and maintain databases.
  • Process and distribute incoming and outgoing mail.
Assist with payroll and HR-related tasks, such as maintaining employee records.
  • Monitor office equipment and arrange for repairs as needed.
  • Qualifications:
Proven experience as an administrative assistant or in a related role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
Ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus.
  • Work Environment:
This position operates in a professional office environment.
  • Standard office hours, with occasional overtime as needed.
